FINANCE ACCOUNTS PAYABLE ASSISTANT (M/F)

Inputs and maintains data in Global Affairs Canada financial management system (FAS) by processing vendor/employee invoices for payment ensuring that the proper budget and coding is used; by performing the clearing asset & liabilities general ledgers;
 Provides accounting and financial services to the client missions of the Common Service Delivery Point (CSDP) by developing a comprehensive knowledge of financial policies and directives and auditing invoices and expense claims to ensure completeness and ensuring that authorization has been obtained and supporting documentation is attached;

Receptionist

Under the general supervision of the Management Consular Officer (MCO), the receptionist will ensure the efficient operation of the Embassy’s reception by: operating the central switchboard serving all programs of the mission consisting of 9 outside lines and 59 inside lines; dealing with inquiries from the general public, providing general information as well as forwarding incoming calls, taking phone messages, directing callers to the appropriate websites for further information, accepting telephone replies to invitations to social and business events, work closely with the Consular program; provide administrative duties by receiving and sending courier packages/delivery of goods , maintains a schedule for replacement of receptionist during breaks, answering routine enquiries for assistance, date stamps all in- coming correspondence and distributes to the respective programs within the embassy; performs other duties for the Management and Consular section as discussed and agreed upon with the MCO.

Immigration Assistant (M/F) (LE04)

Under the general supervision of the Immigration Program Manager,the incubent performs functions related to the reception of clients, liaison with the VAC, recovery and reconciliation of costs, preparation of travel documents, the creation and maintenance of immigration files and the taking of biometric data; disseminates accurate instructions to the public and maintain a high level of quality control in all functions.

Press and Public Affairs Officer

Manage and prepare content for social media channels and website under the supervision of the Second Secretary
• Plan and execute public campaigns and events to promote Canadian foreign policy priorities
• Manage relations with media representatives and support preparation of traditional media content (e.g. press releases, interviews)
• Participate in the planning and execution of high-level visits, Canadian experts, and others

Executive Assistant to the Australian Ambassador

Under the general supervision of the Australian Head of Mission (HoM), the Executive Assistant organizes and maintains HoM’s schedule, meetings and invitations; organizes hospitality functions, including supervision of contracted staff and preparation of official hospitality records; drafts Ukrainian language correspondence for HoM, develops and maintains HoM local contacts list. Provides advice as required, sets up (often on an urgent basis) meetings with key decision makers and interprets during meetings as required, often in difficult and stressful circumstances. Prepares and processes accounts and other documents to support financial management functions of the Australian Embassy and working closely with Canadian Embassy staff as required. As translator/interpreter translates and interprets in three languages, English, Ukrainian and Russian, for a variety of audiences.

International Business Development Trade Officer

Reporting to the Senior Trade Commissioner, with responsibility for several priority and reactive trade sectors (including but not limited to Infrastructure, Education and Life Sciences/Healthcare) contributes to the delivery of Canada’s International Business Development program at the Embassy of Canada to the State of Qatar. The officer:

• Provides ongoing market intelligence and business leads to Canadian clients in selected sectors to promote increased trade and investment with the State of Qatar;
• Conducts research and analysis and formulates strategic advice for senior management and clients to enhance Canadian competitiveness in the local market;
• Develops and maintains a network of key local business and government contacts;
• Initiates, organizes and manages promotional events and activities in support of Canadian clients.
